Best Workflow Automation Tools in 2026

Eight automation platforms compared on the unit each one bills, what 2,500 four-step runs a month cost, and who each fits.

TL;DR

Short answer: Zapier is the best workflow automation tool for most teams in 2026: 9,000+ apps, a free plan with 100 tasks a month, and Professional from $19.99 a month billed yearly. Pick Make for branching visual scenarios, n8n if a technical team wants to self-host, and Power Automate if the company runs on Microsoft 365.

The catch is the billing unit. Zapier charges per action step, n8n and Activepieces per full run. For 2,500 runs a month with four actions each, that is $1,548 a year on Zapier against $240 on n8n Starter, prices read on the vendors' pricing pages on 19 October 2026.

Key facts8 tools compared: Zapier, Make, n8n, Microsoft Power Automate, Activepieces, Integrately…
  • Updated: November 7, 2026
  • Top pick: Zapier (best for: Non-technical teams that need the widest app coverage and the fastest setup)
  • Top pick price as of November 7, 2026: Zapier: Free plan, 100 tasks a month; Professional from $19.99/mo billed yearly ($29.99 monthly) for 750 tasks
  • 8 tools compared: Zapier, Make, n8n, Microsoft Power Automate, Activepieces, Integrately, Workato, IFTTT
  • Make (best for: Operators who build branching, multi-path scenarios and want to see the whole flow on one canvas): Free plan with 1,000 credits a month; paid Core, Pro and Teams plans start at 10,000 credits a month
  • n8n (best for: Technical teams that want per-run pricing, code steps or full control by self-hosting): Starter $20/mo billed yearly for 2,500 executions; free self-hosted Community Edition
  • Microsoft Power Automate (best for: Companies standardized on Microsoft 365 that also need desktop automation (RPA)): Premium $15/user/mo paid yearly; unattended bots $150/bot/mo; 30-day free trial

Most workflow automation tools connect the same apps and run the same triggers. What separates them is what they count. Zapier counts every action a workflow completes, Make counts credits per module, n8n and Activepieces count a whole run once, and Power Automate counts people. Pick the unit that matches how your workflows are shaped, then the tool.

Toolradar data: Toolradar, the software directory we run, evaluates 673 automation tools as of October 2026, and only 242 of them publish a price it could verify. Make is listed as an alternative to 137 other tools there, more than any product in the category, which tells you how often buyers shortlist it against Zapier.

This page ranks eight platforms for an operations or business team. If you want agents that decide what to do rather than follow fixed steps, read our best AI agent builders guide. If the question is only the two leaders' bills, our Zapier vs Make pricing breakdown runs that math in detail.

What it is

A workflow automation tool is a hosted or self-hosted service that watches one app for an event, then runs a chain of actions in other apps without anyone copying data by hand: a form fill becomes a CRM contact, a Slack alert and a spreadsheet row. The plans differ on how many runs or steps you get each month, how often triggers check for new data, and who can share workflows.

Toolradar keeps profiles for Zapier, Make, n8n and Power Automate. Prices on this page come from each vendor's own pricing page.

Why it matters

The same workload can cost six times more on one tool than another. A lead-routing flow that fires 2,500 times a month and touches four apps uses 10,000 Zapier tasks but only 2,500 n8n executions or Activepieces credits. A step-billed tool punishes long workflows; a run-billed tool does not.

The second cost is people. Zapier Professional is built for one owner, and sharing Zaps across a team means moving up to the Team plan, which costs more than three times the entry Professional tier. Power Automate bills each person who builds flows. A team of three builders pays $540 a year on Power Automate Premium (3 seats at $15 a month billed yearly, our arithmetic) whatever the run count, which is cheap for heavy use and expensive for light use.

Key features to look for

Billing unit
Tasks per action (Zapier, Integrately), credits per module (Make), executions per run (n8n), credits per run (Activepieces) or seats (Power Automate). Count your steps per run before comparing prices.
Free tier that runs real work
Activepieces gives 1,000 credits a month and Make 1,000 credits; Zapier and Integrately stop at 100 tasks. n8n has no free cloud plan but a free self-hosted Community Edition.
Multi-step and branching
Zapier Free and Integrately Free allow only two-step or single-step automations. Branching logic arrives on Zapier Professional and on Integrately's paid plans.
Team sharing and SSO
Shared workflows and SAML SSO sit on Zapier Team, n8n Pro and Activepieces Team. Solo plans make collaboration awkward once a second builder joins.
Self-hosting
n8n and Activepieces can run on your own servers, which keeps data in-house and removes the per-run meter. You then own upgrades, backups and uptime.
Overage handling
Zapier switches you to pay-per-task billing at the limit, Activepieces charges $0.007 per extra credit, and Make stops scenarios until credits are added.

Pricing

Prices were read on 19 October 2026 on each vendor's pricing page: Zapier pricing, Make pricing, n8n pricing, Power Automate pricing, Activepieces pricing, Integrately pricing, Workato pricing and IFTTT plans. Make's paid plans start at 10,000 credits a month; check the current Core price on Make's pricing page before you budget.

Our cost model: 2,500 runs a month, four app actions per run, so 10,000 action steps. On annual billing that costs $1,548 a year on Zapier Professional 10K ($129 a month), $468 on Integrately Professional and $240 on n8n Starter. Activepieces Plus is billed monthly only and lands on the same yearly total as n8n. On monthly billing Zapier's same tier is $193.50 a month, or $2,322 a year (our arithmetic on the printed prices).

The model assumes no paid AI steps and no filter steps. Add filters and Zapier stays flat (they are free) while Integrately counts each condition as a task. Halve the steps per run and Zapier's bill falls to the 5K tier while n8n's does not move, which is why steps per run decide the winner more than the sticker price.

Methodology: we compared 8 platforms a business team would shortlist, priced the plan that covers the scenario on each vendor's own pricing page, and ranked by fit for a non-developer operations team first, then by cost. Ranking is editorial; see our how we rate page.

Mistakes to avoid
×Comparing entry plans as if they bought the same work. n8n's entry plan absorbs a workload of four-step runs that would need Zapier's 10K tier, while Zapier's entry tier stops at 750 actions.
×Building on a free plan that cannot branch. Zapier Free and Integrately Free are two-step or single-step, so the workflow you prototype is not the one you will run.
×Ignoring who else needs to edit. Zapier Professional has no shared workspace; the second builder pushes you to the Team plan and a much larger bill.
×Self-hosting to save money without counting the server and the hours. n8n Community Edition is free, but someone owns upgrades, backups and uptime.
Expert tips
→List your three busiest workflows and count actions per run. Multiply by monthly runs: that number tells you whether a step-billed or run-billed tool is cheaper.
→Price on annual billing only once a workflow is in production. Zapier's monthly Professional price is about 50% higher than its yearly rate.
→Start on the Make or Activepieces free plan if you need real volume to test. Their free credit allowance can carry a small pilot for a month, which Zapier's free tier cannot.
→Read the <a href='/blog/how-to-automate-your-workday-with-ai'>guide to automating your workday with AI</a> before buying, so the first workflow you build is one worth paying for.

The bottom line

For most business teams, Zapier is the safest first tool: it connects the most apps and the builder is the easiest to hand to a non-developer. Move to Make when your flows branch, to n8n or Activepieces when runs have many steps and the Zapier bill climbs, and to Power Automate when Microsoft 365 is already the company standard. Workato is for IT-led enterprise programs, Integrately for tight budgets, and IFTTT for personal automations.

Before you commit, read our Zapier review and the Zapier vs Make pricing math. Automations usually start from a form or a CRM, so compare our form builders and CRMs for small business, and see which Slack integrations already cover a flow without a third tool. For apps rather than flows, see the no-code app builders and our Airtable review. Price moves across SaaS tools are logged in our SaaS pricing changes tracker, and Dupple's AI workflow automation guide covers the AI-first tools.
