Fireflies.ai Review

What each Fireflies plan includes, where the free transcript cap actually sits, and what four alternatives charge for the same job.

TL;DR

Fireflies.ai is worth annual Pro at $10 per seat a month when you need stored meetings. Choose Business when the notes must land in a CRM, and the free caps are a weak buy. Free storage is 400 minutes for the team, and signups from September 1, 2026 get 3 transcripts unless Auto-join is on. Month-to-month Pro is $18, Otter.ai is the cheaper annual seat, and Fathom is the free unlimited alternative, with the wider field in our meeting assistants guide.

  • Updated: October 21, 2026
  • Best for: Teams that need stored calls and a HubSpot or Salesforce connection
  • Price as of October 21, 2026: From $10/seat/mo billed annually ($18 monthly); Business $19; Enterprise $39 annual only
  • A seat-priced recorder whose real cost is storage, meeting length, and AI credits.
  • Free storage: 400 minutes of meetings for the whole team
  • Free transcripts: 3 meetings unless Auto-join is on, for signups from September 1, 2026
  • Meeting length on Pro: 2 hours, then the recording stops
  • Alternatives covered: Otter.ai, Fathom, Granola, MeetGeek

Pros

  • Auto-join removes the 3-transcript cap for free accounts created on or after September 1, 2026
  • Pro stores 8,000 minutes per seat and records video at 720p
  • Business adds conversation intelligence, private channels, and a 3-hour meeting cap

Cons

  • Free storage is one shared pool for the team, separate from the transcript count
  • Free and Pro cut a meeting off at 2 hours
  • A paid workspace can be auto-subscribed to a credit pack when included credits run out

Entry-price rank7th of 20 Transcription tools with a per-user price

Fireflies.ai joins the call, keeps the transcript, and on Business can write notes into HubSpot or Salesforce. The cap you hit first decides whether the free plan lasts a week: shared storage, meeting length, or the transcript default. Budget for Business if the CRM writeback is the point, because Pro stores the call and leaves the notes outside the pipeline.

This review prices every Fireflies tier, then puts a 5-seat and a 20-seat bill next to Otter.ai, Fathom, Granola, and MeetGeek. Granola's link on this page is an affiliate link, and the other product links are not. For notes you type yourself, our AI note-taking guide is the separate question.

Toolradar data: Fireflies.ai's entry plan ranks 7th of 20 (tied) among Transcription tools with a verified per-user entry price, the median is $14.50 per user a month, and it is listed as an alternative to 79 tools, 3rd of 170 in Transcription, as of October 2026 (Toolradar).

What is Fireflies.ai?

Fireflies records Zoom, Google Meet, Microsoft Teams, and other meeting apps, then stores the transcript in a searchable workspace. The pricing page lists a desktop app, a Chrome extension that records without the bot, and iOS and Android apps, so a client call can skip the bot. AskFred is limited on the free plan, while tasks, contacts, and an email assistant sit on Pro and above.

English is the primary transcription language, and Spanish, French, Portuguese, Italian, and 100+ other languages are in beta, so a non-English team should treat accuracy as unsettled. Multi-language mode, more than one language in one meeting, is Business and Enterprise only, so a bilingual call does not fit on Pro. Auto-language detection is on every plan, and the catalog entry is at toolradar.com/tools/fireflies-ai.

How Fireflies.ai works

Sign-in on the pricing page is Google or Outlook, and only Enterprise adds SSO, so a company that requires it has to buy Enterprise. Each invited teammate is a paid seat, and sharing a recap link does not add one. A removed seat stops billing going forward and does not refund the current cycle, per the billing terms. Someone who leaves still costs the rest of the period you already paid.

On the free plan, transcription count and storage are different limits, and clearing one does not clear the other. The free-plan transcript guide says newer free accounts get a small allowance when Auto-join is off, and no count cap when it is on. The setting "Only when I invite [email protected]" does not get that unlimited count, so inviting the bot by hand still burns the allowance. Storage stays one pool for the whole team, and summaries, recaps, and action items still draw on AI credits.

The API is a separate meter from the seat, with a higher ceiling on Business and Enterprise than on Pro. A team sending transcripts into its own tools should not treat the seat as unlimited calls. A Zapier transcription, which the pricing FAQ places on Pro, is not that API cap, and our Zapier review covers the automation side.

Fireflies.ai key features

Auto-join transcripts
Newer free accounts get an unlimited transcript count only with Auto-join on, and a small allowance when it is off. Older accounts that already had unlimited free meetings keep that allowance. Adding the bot by hand still leaves newer accounts on the small allowance.
Meeting storage
Storage is the total for your meetings, and the free pool is shared, small enough that a busy week can finish it for everyone. Pro gives each seat its own allotment, while Business and Enterprise list unlimited storage for a team that records all day.
AskFred and AI credits
AskFred is limited on Free and included on paid plans, so the assistant is a reason to leave the free tier. The one-time credit grant does not refill, and skills, the personal assistant, and voice agents spend it, while summaries and the transcript do not.
CRM on Business
Deal Intelligence needs Business or Enterprise plus HubSpot or Salesforce, and an admin has to connect the CRM. A Pro subscription never writes notes into the pipeline. Conversation intelligence is marked for those two plans, not for Pro.
Length and video
Free and Pro share a meeting-length cap, and Business is the first plan that raises it, with Enterprise higher still. Video is off on Free, 720p on Pro and Business, and 1080p on Enterprise, so a team that needs the picture should not stay on Free.
Admin controls
SOC 2 Type II and GDPR are on every plan, so a routine security review does not force Enterprise. HIPAA, SSO, SCIM, private storage, custom retention, invoice payment, and a dedicated contact are Enterprise only. That list is the real cost for a regulated buyer, and priority support starts on Business.

Fireflies.ai pricing

Prices below were read in October 2026 on Fireflies pricing, the billing terms, Otter pricing, Fathom pricing, Granola pricing, and MeetGeek pricing. Enterprise on Fireflies is $39 per seat a month and annual only, so that tier has no month-to-month option. Above 50 seats, Fireflies says to contact them for a volume discount and does not print the rate, so a larger rollout has no public number.

Five seats on annual Pro is $50 a month, or $600 a year. The same five seats on annual Business is $95 a month, or $1,140 a year, if Deal Intelligence is why you are buying. Paying Pro month to month for a year is $1,080, so the annual commitment saves $480.

Twenty seats on annual Business is $380 a month, or $4,560 a year. The same headcount on annual Pro is $200 a month, or $2,400 a year, without CRM notes.

At five seats on the lowest team-usable annual rate, Otter Pro is $41.65 a month ($499.80 a year), under the Fireflies Pro bill. MeetGeek Pro is $49.95 a month ($599.40 a year), almost the same year as those five Fireflies Pro seats. Fathom Team is $75 a month ($900 a year), a team plan that costs more than Fireflies Pro for a shared workspace. Granola Business is $70 a month, and a year at that published monthly rate is $840, because the page lists no separate annual price.

Running out auto-subscribes a paid plan, if it is not already subscribed, to 50 credits for $5 a month, or $4 on the annual credits rate. Credits are pooled and do not grow with seats, and larger packs, up to 10,000 credits a month, stay pooled too. Free accounts see a paywall instead of an automatic charge. Otter's monthly Business card, separate from its annual rate, shows $24 per user for the first 3 months.

Methodology. We compared Fireflies with four tools a buyer can substitute for the same job: a bot or device recorder, a transcript, and a summary. Prices and limits are the ones printed on each vendor's own pricing page in October 2026. The 5-seat and 20-seat totals are arithmetic on those rates. We did not run Fireflies on a live call, so this is a pricing and limits review. The category ranking, which answers a different question, is our meeting assistants guide.

Fireflies.ai pros and cons

What we like

  • Auto-join removes the 3-transcript cap for free accounts created on or after September 1, 2026
  • Pro stores 8,000 minutes per seat and records video at 720p
  • Business adds conversation intelligence, private channels, and a 3-hour meeting cap
  • Deal Intelligence on Business and Enterprise connects HubSpot or Salesforce, which a Pro seat does not

What could be better

  • Free storage is one shared pool for the team, separate from the transcript count
  • Free and Pro cut a meeting off at 2 hours
  • A paid workspace can be auto-subscribed to a credit pack when included credits run out
  • The free plan has no integrations, and SSO is Enterprise only

Who Fireflies.ai is for

Fireflies fits a team that already lives in HubSpot or Salesforce and will pay for Business so Deal Intelligence is included. A five-person sales pod on annual Business pays $1,140 a year for unlimited storage, a longer meeting cap, and the CRM connection. Pro is the step when you need integrations and per-seat storage but not conversation intelligence. The Deal Intelligence guide names HubSpot and Salesforce only, so any other CRM sits outside that feature.

Skip it if you are one person and Fathom's free plan, with unlimited recordings, already covers the week. Skip it if a visible bot is a problem on client calls. Granola's pricing page lists bot-free capture on desktop, iOS, Android, and Apple Watch, and the desktop app is Mac or Windows. Skip a transcript tool if you only need a short async video, which is closer to our Loom review.

Also skip Pro when meetings run past the Free and Pro length cap, since Business is where that cap goes up. If the follow-up lives in a task list rather than a CRM, our CRM guide is the wider comparison. Fireflies puts Zapier audio transcription on Pro, which is why the Zapier review sits here too. The daily Techpresso brief covers changes like these at techpresso.co.

The bottom line

Pay for Business when HubSpot or Salesforce notes are why you are buying, and stay on annual Pro for storage and integrations. Five seats on annual Pro come to $600 a year, and the same five on annual Business come to $1,140, the premium for CRM notes and a longer meeting. A single user who can live with Fathom's free unlimited recordings should start there. A buyer who refuses a bot should price Granola Business before paying for a Fireflies seat.

Included AI credits are a one-time grant, and running out on a paid plan can start the $5 credit pack. Meetings that run past the Free and Pro length cap need Business. Profiles for the alternatives are Otter.ai, Fathom, Granola, and MeetGeek. If you want an edited video rather than a transcript, see our Descript review and the Slack integrations guide.

Frequently asked questions

How much does Fireflies.ai cost?

Pro is $10 per seat a month billed annually, or $18 month to month, so a team that might cancel pays the higher rate. Business is $19 per seat a month billed annually, or $29 month to month. Enterprise is $39 per seat a month and annual only, with no monthly option. Five seats on annual Pro come to $600 a year, and the free plan has no seat fee.

Is Fireflies.ai free?

Yes, and the two limits do not stand in for each other. Storage is 400 minutes for the whole team, so one person's long calls spend the group's allowance. Accounts created on or after September 1, 2026 get 3 meeting transcriptions unless Auto-join is on, and then the count is not capped. Summaries still use the 20 one-time AI credits, and the free plan has no integrations or video, so a connected team outgrows it quickly.

Is Fireflies.ai worth it in 2026?

It is worth annual Business when the team needs HubSpot or Salesforce Deal Intelligence and meetings that can run to 3 hours. It is worth annual Pro when 8,000 minutes of storage per seat and integrations are enough, and the CRM writeback is not the point. It is not worth a seat if Fathom's free unlimited recordings cover your calls. For bot-free capture, Granola Business is $14 per user a month.

What is the best Fireflies alternative?

Otter Pro is the lower annual seat at $8.33 per user a month, with 1,200 recording minutes, so it wins on price until calls run long. Fathom is free and unlimited for one person, and Team is $15 per user a month billed yearly with a 2-user minimum, so a solo user stays off it. Granola is the bot-free option when you will not put a recorder in the call. MeetGeek Pro is $9.99 per user a month billed annually for 20 hours, then $0.50 per extra hour, when you want a printed overage.

Does Fireflies charge extra for AI features?

Summaries and the raw transcript are not credit charges, so the notes you came for do not spend the grant. Skills, the personal assistant, voice agents, and AskFred on live assist use AI credits. A paid plan that runs out can be auto-subscribed to 50 credits at $5 a month, pooled for the workspace. Adding seats does not add credits, and free users get a paywall instead of that automatic charge.
