Airtable vs Notion 2026: Database or Workspace, and What 10 Seats Cost
Airtable Team costs $2,400 a year for 10 seats in 2026, Notion Plus $1,200. Records, automations, AI and who should pick which, checked October 2026.

Choose Airtable when your work is structured data that runs a process: Team costs $20 per seat a month billed yearly and includes 50,000 records per base, 25,000 automation runs and 15,000 AI credits per paid user. Choose Notion when your work is documents, wikis and light databases: Plus costs $10 per member a month billed yearly, and Business, at twice that, adds Notion's AI agent, meeting notes and SAML SSO.
Both prices, current as of Oct 2026, were read in USD on Airtable's pricing page and Notion's pricing page on 18 October 2026. The two tools overlap in the middle, where a Notion database and an Airtable base both look like a table with views. They part ways at the edges: Airtable is a relational database with an app builder on top, and Notion is a writing workspace with databases inside it. Pick the one whose edge you will hit first.
Toolradar data: Toolradar, the software directory we run, lists both tools in its October 2026 project management ranking, which evaluated 359 tools. The head-to-head record is on Airtable vs Notion on Toolradar, with the tool pages at Airtable and Notion.
Price at a glance for 10 people
| Plan | Per seat, per month (yearly) | Per seat, per month (monthly) | 10 people, 12 months, yearly | What the tier is for |
|---|---|---|---|---|
| Airtable Free | Free | Free | Free | Up to 5 editors, 1,000 records per base |
| Airtable Team | $20 | $24 | $2,400 | Working bases with automations and AI |
| Airtable Business | $45 | $54 | $5,400 | Admin panel, SSO, two-way sync |
| Notion Free | Free | Free | Free | One person, or a small trial team |
| Notion Plus | $10 | $12 | $1,200 | A team wiki and project docs |
| Notion Business | $20 | $24 | $2,400 | AI agent, meeting notes, SSO |
| Enterprise (both) | Contact sales | Contact sales | Quote | SCIM, audit logs, advanced security |
Notion is half Airtable's price at every comparable tier. Ten people on Notion Business, with AI included, cost the same $2,400 a year as ten people on Airtable Team. The gap widens at the admin tier, where Airtable Business costs $3,000 a year more than Notion Business for the same ten seats.
Who counts as a seat differs. Airtable charges for every user with edit permission on at least one base in the workspace, while read-only collaborators, form submissions and share links are free, and seats added mid-month are prorated. Notion bills per member, and both paid Notion plans allow unlimited guests. A team with many viewers and a few builders pays less on Airtable than its headline rate suggests.
What each tool actually is
Airtable is a relational database you build apps on. A base holds linked tables with typed fields, and the Interface Designer turns those tables into forms, dashboards and screens for people who never see the grid. Automations, sync integrations and extensions make a base run a process: content calendars, inventory, CRM pipelines, request queues.
Notion is a document workspace with databases inside it. Pages hold writing, and any page can contain a database with views, subtasks, dependencies and custom properties. A company wiki, meeting notes, specs and a lightweight task board can live in one tree of pages, which is why Notion wins wherever writing is the main output.
The overlap is a table with views. Both can track a project in a board or a timeline. The difference shows at scale: Airtable caps records per base but handles relational data and automation volume well, while Notion keeps your text and your data side by side but offers fewer automation runs and less app-building.
Round 1: structured data and limits. Airtable wins
Airtable publishes its capacity per base: 1,000 records on Free, 50,000 on Team, 125,000 on Business and 500,000 on Enterprise Scale. Attachments grow from 1 GB per base on Free to 20 GB on Team and 100 GB on Business. These are hard numbers you can plan around, and a product catalog or a lead list of 30,000 rows fits Team comfortably.
Notion does not publish a record cap per database on its pricing page. It sells the database as part of the page, with charts, forms and dashboards on paid plans. For a team tracking a few hundred projects that is plenty; for an operations table that grows by thousands of rows a month, Airtable's published limits and linked records are the safer foundation.
Round 2: documents and knowledge base. Notion wins
Notion is built for writing. Pages, nested pages, comments, private teamspaces on Business, and page history that grows from 7 days on Free to 30 days on Plus and 90 days on Business make it a real wiki. Unlimited file uploads start on Plus, while Free caps uploads at 5 MB.
Airtable has rich text fields and record comments, but a handbook or a spec does not belong in a base. If your team's main output is written knowledge, Airtable would be a database bolted to a missing wiki. Our Notion vs Obsidian comparison covers the writing side in more depth.
Round 3: automations. Airtable wins
Airtable meters automation runs and gives a lot of them: 100 a month on Free, 25,000 on Team, 100,000 on Business and 500,000 on Enterprise Scale. Runs trigger on record changes, schedules or forms, which is what lets a base act as a back office.
Notion's automations are simpler. Free has button automations only, and Plus and Business add database automations such as setting a property or sending a notification when a page changes. That covers routine handoffs, not a process engine. Teams that need heavier workflows on top of Notion usually add Zapier or Make; our Zapier vs Make pricing breakdown shows what that adds to the bill.
Round 4: AI. Notion wins on bundling, Airtable on volume
Notion bundles its AI into Business. Notion Agent (chat, generate, autofill, translate), AI Meeting Notes and Enterprise Search are included on Business, while Free and Plus get a limited trial only. Custom Agents, which run tasks on their own, are free to try and then cost $10 per 1,000 Notion credits a month.
Airtable meters AI with credits on every plan: 500 per editor a month on Free, 15,000 per paid user on Team, 20,000 on Business and 25,000 on Enterprise Scale. Extra credit packs start at $20 a month for 10,000 credits. Airtable AI works inside fields and automations, so it suits bulk jobs such as categorizing records or drafting descriptions across thousands of rows.
The practical split: a team that wants an assistant for writing and meetings gets more from Notion Business. A team that wants AI applied to every row of a dataset gets more from Airtable's credit allowance.
Round 5: free plans. Airtable for small teams, Notion for one person
Airtable Free allows up to 5 editors with unlimited bases, the small record cap from Round 1, 100 automation runs and the Interface Designer. That is enough for a five-person team to run a real, if small, workflow before anyone pays.
Notion Free is unlimited for an individual, but pages and blocks become limited once a workspace has 2 or more members, and guests stop at 10. One person can live on Notion Free indefinitely; a team will hit the block limit and need Plus.
Round 6: admin and security. Tie at the top, Notion cheaper in the middle
SAML SSO arrives on Airtable Business and on Notion Business, which is the cheapest route to SSO on either side and costs less than half as much on Notion. Airtable Business adds an admin panel, verified data, two-way sync and premium sync integrations. Notion Business adds granular database permissions, private teamspaces and domain verification.
SCIM provisioning and audit logs sit on Enterprise for both, along with DLP on Airtable Enterprise Scale and zero data retention with LLM providers on Notion Enterprise. Neither publishes an Enterprise price, so plan on a sales quote.
Who should pick which
- Pick Airtable if you run an operational process on structured data: a content pipeline, inventory, a CRM, a request queue with forms and dashboards.
- Pick Notion if your team writes: a wiki, specs, meeting notes, onboarding docs, with simple project tracking alongside.
- Pick Notion Business if you want AI meeting notes and an assistant for every member at a predictable per-seat price.
- Pick Airtable Free if a team of up to five needs a small database now, and Notion Free if you are one person organizing your own work.
- Use both when operations live in a base and knowledge lives in pages; at 10 people, Airtable Team plus Notion Plus costs $3,600 a year.

How we checked
Louis Corneloup, founder of Dupple and Toolradar, wrote this comparison from Airtable's pricing page and Notion's pricing page, both read in USD on 18 October 2026, including their plan grids and billing FAQs. Ten-seat totals are our arithmetic from the yearly per-seat rates. Techpresso runs no test lab, so this page compares published plans and limits, not hands-on performance. The 359 tool count comes from Toolradar's project management ranking that month. Editorial rules are on the Techpresso about page.
FAQ
Airtable vs Notion: which should I choose in 2026?
Choose Airtable for structured data that drives a process, with Team at $20 per seat a month billed yearly, 50,000 records per base and 25,000 automation runs. Choose Notion for documents and a team wiki, with Plus at $10 per member a month billed yearly and Business adding AI and SSO. Teams that need both often run both.
Is Notion cheaper than Airtable?
Yes. Notion's paid tiers cost half of Airtable's comparable tiers: $1,200 a year for 10 people on Notion Plus against $2,400 on Airtable Team. Airtable bills only users with edit access, though, so a team with many read-only viewers pays for fewer seats there.
Can Notion replace Airtable as a database?
For small, document-centered tracking, yes: Notion databases have views, subtasks, dependencies, charts and forms. For large relational data or heavy automation, no: Airtable publishes per-base limits up to 500,000 records and 500,000 automation runs on Enterprise Scale, and Notion's automations are simpler.
Does Airtable or Notion include AI?
Both, in different ways. Notion Business bundles Notion Agent, AI Meeting Notes and Enterprise Search, while Free and Plus get a trial. Airtable includes AI credits on every plan, from 500 per editor a month on Free to 15,000 per paid user on Team, with extra credit packs sold on top.
Which has the better free plan?
Airtable Free is better for a small team, with up to 5 editors, unlimited bases and 1,000 records per base. Notion Free is better for one person, because blocks become limited once a workspace has 2 or more members.
Do Airtable and Notion offer monthly billing?
Yes. Airtable Team is $24 and Business $54 per seat billed monthly, and Notion Plus is $12 and Business $24 per member billed monthly. Yearly billing saves about a sixth on Airtable and up to 20% on Notion.
