Smallpdf Review 2026
What the free plan allows, what Pro and Team cost per month and per year, and where a desktop editor does the job better.
Smallpdf is worth paying for when you convert, compress or merge PDFs most weeks and the free daily limit starts to block you. Pro is $12/mo billed monthly or $108 a year billed yearly, and the 7-day trial asks for a card. The free plan cannot edit text, so anyone who needs to change a sentence in a PDF is buying a different job. For that job, Foxit PDF Editor at $129.99 per user a year is the desktop alternative to price first.
Key factsBest for: Anyone who converts or compresses PDFs most weeks and needs…
- A browser PDF toolkit with a free plan that caps daily work and a Pro plan that removes most of those caps.
- Toolradar rating: 4.3 across 6,324 reviews
- Free plan text editing: Not included, Pro has it
- Free trial: 7 days, card required
- File deletion: Within one hour unless saved
Pros
- Core tools run in the browser, and the Chrome extension, Google Workspace and Dropbox apps are free to use.
- Pro adds Edit Text, batch work, OCR inside conversions and unlimited file size, which the free plan does not offer.
- Team on the yearly per-user rate adds centralized billing, team access management and priority support.
Cons
- The free plan's daily download limit has no number on the pricing page, so a free workday is hard to plan.
- The free plan caps AI tools at 4 documents a day and 20 to 30 prompts, and OCR inside PDF to Word, Excel and PowerPoint conversions is Pro only.
- Files are processed on Smallpdf's servers, so a confidential contract leaves your machine even if it is deleted within an hour.

For a weekly workload, the paid plan is worth the money. For one merge or a single compression, the free plan does the job.
Toolradar data: Smallpdf holds a 4.3 aggregate rating across 6,324 reviews on G2, Capterra and Trustpilot, and Toolradar tracks 1,846 productivity tools, the category Smallpdf competes in. That is a crowded field, so the price and the limits decide more than the feature list.
How we compared: prices come from Smallpdf's own pricing page, checked on 10 October 2026, and from the pricing pages of Adobe Acrobat, Foxit PDF Editor, PDFgear and Nitro PDF on the same day.
We left out browser rivals whose pricing pages show euro prices, because converting those figures would be our estimate, not the vendor's number. The wider desk sits in our best PDF editors guide.
What is Smallpdf?
Smallpdf is a browser-first PDF toolkit. It converts PDFs to and from Word, Excel, PowerPoint and images, compresses files, merges, splits and rotates pages, runs OCR and handles e-signatures. Its homepage says the Chrome extension, Google Workspace and Dropbox apps are free to use, so a light user can start without a desktop install.
The product comes in four tiers. Free covers occasional jobs under daily download limits. Pro removes most of the caps and adds text editing, and Team is for 2 to 100 users with centralized billing and priority support. Business adds dedicated support and custom pricing. The pricing copy also promises access to all 30+ tools, which is the breadth you pay for.
The main thing to understand is that Smallpdf is a converter and compressor first. Text editing, batch jobs and OCR inside conversions sit behind Pro. A buyer who only wants to fix one sentence in a contract gets much less from the free plan than the homepage suggests.
Our how to edit a PDF for free guide shows the other routes.
How Smallpdf works
A job runs in the browser. You upload a file, Smallpdf processes it on its servers, and you download the result or keep it in Smallpdf's file storage. The privacy policy says user files are deleted within one hour unless you save them, and saved files are generally deleted within 14 days of a delete request.
Transfers are encrypted with TLS, and the homepage cites 256-bit TLS and ISO/IEC 27001 certification.
The limits work per tool. Most free tools carry a daily download limit rather than a monthly quota, so you cannot plan a free workday from the table alone. The AI tools have their own allowance: up to 4 documents a day and 20 to 30 prompts a day on the free plan, against a 100k word document limit on Pro.
The 50 MB AI file size limit applies on every plan, while the general file size limit is unlimited from Pro up.
The trial follows a simple pattern. You start a 7-day free trial with a card on file. If you do not cancel, the subscription starts when the trial period ends. Cancel inside the window and the account drops to the free plan, which the pricing FAQ confirms.
Why it matters
Pricing comes down to how many jobs you run and how many people run them. One Pro seat on the yearly plan is $108 a year, and the monthly rate adds $36 over twelve months. A team of five on Team pays $420 a year at $84 per user, against $540 for five individual Pro seats on the yearly rate, so five separate accounts cost $120 more than one five-seat Team.
Against a desktop editor, the comparison gets closer to the job. Five Adobe Acrobat Pro seats on prepaid annual plans come to $1,199.40 a year, and five Foxit PDF Editor seats at the yearly per-user price come to $649.95. Both desktop editors handle text, which the Smallpdf free plan does not. Whether you need text editing decides the tier before the price does.

Smallpdf pricing
Smallpdf's pricing page lists Pro at $12/mo billed monthly or $9/mo billed yearly, which is $108 a year on the yearly plan. The yearly price is 25% lower per month than the monthly rate. Team is $10 per user a month billed monthly, or $7 per user a month billed yearly at $84 a year, for 2 to 100 users. The homepage quotes both tiers per user, billed annually.
The same pricing page also carries US-localized sets, with Pro at $15/mo or $120 a year and Team at a higher per-user rate, so confirm the figure you are shown at checkout. Business has no list price and runs through Contact Sales, with dedicated support and flexible payment options on that tier.
Payment is by PayPal, Visa or Mastercard, according to the pricing FAQ. The trial needs a card, and Smallpdf's terms say the paid subscription starts automatically once the free trial ends unless you cancel.
Adobe's prepaid annual plan is stricter, with no refund after 14 days, as our Adobe Acrobat review shows.

Smallpdf pros and cons
What we like

- Pro adds Edit Text, batch work, OCR inside conversions and unlimited file size, which the free plan does not offer.
- Team on the yearly per-user rate adds centralized billing, team access management and priority support.
What could be better
- The free plan's daily download limit has no number on the pricing page, so a free workday is hard to plan.
- The free plan caps AI tools at 4 documents a day and 20 to 30 prompts, and OCR inside PDF to Word, Excel and PowerPoint conversions is Pro only.

Who Smallpdf is for
Smallpdf fits someone who converts, compresses and merges PDFs every week and does not need to hand-edit the text of a contract. A freelancer who sends invoices as PDFs, or a recruiter who turns resumes into Word files, gets the right value from a Pro seat on the yearly plan.
A group of 2 to 100 people is where Team pays off, because it adds centralized billing and team access management that five separate accounts lack. If the job is only conversion, our best free PDF to Word converters guide lists the free routes first.
If the job is only compression, our best free PDF compressors guide compares the file-size caps and daily limits of free tools.
Skip Smallpdf if the job is a signed agreement, a regulated file or a long contract that should not sit on a vendor's servers, even briefly. A desktop editor keeps the work on the computer, and PDFgear's free desktop software is the budget route with no seat count. Skip the free plan entirely if you need to edit text, since Edit Text is not on it.

The bottom line
Pay for Smallpdf Pro when PDFs are a weekly chore and the free daily limit is what slows you. On the yearly plan it has the lowest single-seat annual price of any paid editor in this table, with text editing, unlimited file size and the AI word limit in a browser.
Team at the yearly per-user rate is about a third of Adobe Acrobat Pro's prepaid per-seat price, though the two products do not do identical jobs.
Choose Foxit PDF Editor when the work must stay on the desktop and you want a yearly per-user seat or a perpetual license.
Choose PDFgear when the budget is zero, and Nitro PDF when the team is ready to talk to sales. For one-off jobs, start with our free PDF editors guide.
