Zoho Mail is a hosted business email service built by Zoho Corporation, a privately held software company that has never taken outside investment.

What sets it apart from a consumer inbox is that it ships with an admin console, retention and eDiscovery tools, and migration wizards for teams moving off Google Workspace or Microsoft 365, all without the ads that come with a free Gmail account.

It also plugs into the rest of Zoho's catalog: Zia, Zoho's AI assistant, drafts replies and summarizes long threads, and the Zoho Mail MCP connects the inbox to other AI apps.

On its own, Zoho Mail does not include real-time document editing or video conferencing; those live in Zoho Workplace, a separate bundle that adds Zoho Writer, Sheet, Show, Cliq and Meeting on top of the same mailbox.

Buyers should treat Zoho Mail as an email and calendar product first, with the wider suite as an optional upgrade rather than an assumption.

Setup starts with verifying your domain through a DNS TXT record, then adding mailboxes and setting MX records to route mail through Zoho's servers.

Google Workspace Enterprise and Zoho Workplace Enterprise are the only custom quotes in the group. Zoho Mail, Proton Mail and Fastmail include a genuine free tier; Google Workspace and Microsoft 365 do not, offering a 14-day trial instead.

Zoho Mail is the cheapest paid business email on this list by a wide margin, with both of its tiers billed annually only and no per-seat minimum.

Google Workspace Starter and Microsoft 365 Business Basic both start at $7/user/month, billed annually with a 300-user cap; a 10-person team pays roughly $70 a month on either, against a fraction of that on Zoho Mail.

Zoho Mail is a strong fit for small businesses, agencies and solo operators who want a custom-domain inbox with real admin controls but do not want to pay Google or Microsoft prices for it.

It suits teams that already use separate tools for documents and video calls, cost-conscious IT admins standardizing dozens of mailboxes, and anyone migrating off a free Gmail or Outlook.com account who needs retention and eDiscovery without an enterprise budget.

Who should skip it: teams that live in Google Docs or Microsoft Office and expect real-time co-editing and video meetings bundled with the mailbox, since that means paying for Zoho Workplace on top or running a second vendor anyway.

A company already standardized on Google Workspace or Microsoft 365 for documents rarely saves enough on mail alone to justify running two ecosystems.
