The scenario and the arithmetic
The scenario is a five-agent support team that needs one shared inbox for email and tickets, with automations, paid yearly and no add-ons. For each vendor we picked the entry plan that covers that job, then multiplied the per-agent price by five agents and twelve months. Zendesk Support Team works out to $19 x 5 x 12, or $1,140 a year. Where a vendor shows one price per plan without a billing label, the table uses the figure as displayed and says so.

Prices are US dollars, read on each vendor's own pricing page in October 2026. Zendesk and Freshdesk label their prices as billed annually. Help Scout and Intercom show one price per plan with no billing label, so their figures are as displayed. Zoho Desk publishes no US dollar list price on the page we read, only rupee figures, so it stays out of the ranking. Its free plan covers three user licenses, two short of this scenario.
Zendesk: the joint-cheapest seat that still handles tickets
Zendesk Support Team gives a five-agent team email and ticketing, routing, prebuilt analytics, pre-written replies and automations at a seat price tied for the lowest in the table when billed yearly. Paying monthly raises the seat price about 32 percent, or $360 a year across five agents.
The cheap plan leaves out live chat and AI agents. Both sit in Suite Team at $55 per agent, or $3,300 a year for five agents, which is 2.9 times the Support Team seat price. Suite Team also adds messaging, telephony and a knowledge base.
Support Team includes five automated resolutions per agent a month, so 25 for the team. Each one beyond that costs $2.00 on pay-as-you-go, or $1.50 on a committed plan. Copilot adds $50 per agent a month on Professional and higher, paid yearly, or $3,000 a year for five agents.
Freshdesk: the same seat price, with AI on top
Freshdesk Growth costs the same per-agent price when billed annually, and every plan includes ticketing, a shared inbox, a knowledge base, automations and single sign-on. The AI layer is where the bill grows. Freddy AI Copilot costs $29 per agent a month, but it is only available on Pro and Enterprise. Pro at $55 with Copilot comes to $84 per agent a month, or $5,040 a year for five agents.
The customer-facing AI agent is metered in sessions. Every account gets 500 sessions once, and after that Freshdesk charges $49 per 100. At 100 sessions a month, the 500 run out in five months. The remaining seven months add $343, which makes year one about $1,483 with the seats. In a steady year at that volume, sessions cost $588, so seats and sessions come to $1,728. That is the lowest steady-state AI total among the setups costed in this article, though vendors meter AI differently, as the section on where the ranking flips explains.
Help Scout: the free plan is real, and the limit is contacts
Help Scout's free plan covers five users, one inbox and one Docs site, with 100 contacts a month, ten saved replies and 30 days of report history. A five-person team that stays inside one inbox and 100 contacts pays nothing. Standard at $25 per user is the next step, or $1,500 a year for five. Plus at $45 is for higher volume across more channels, and five users on Plus would cost $2,700 a year. AI Answers adds $0.75 per resolution after a three-month trial. At 100 resolutions a month, that is $75 a month, or $900 a year, so Standard with AI Answers comes to $2,400 a year.
Intercom: seats first, then outcomes
Intercom's helpdesk seats are $29 per seat for Essential, $85 for Advanced and $132 for Expert. Five Essential seats come to $1,740 a year. The page shows one price per plan and does not label a billing period, so the figures are as displayed. The Fin AI agent is priced separately, at $0.99 per outcome, charged once per conversation, with no seats required. At 100 outcomes a month, Fin adds $1,188 a year, so Essential with Fin comes to $2,928.
Intercom's page also says that using Fin with an existing helpdesk carries a minimum monthly commitment, with 50 outcomes given as the example. Check that before you sign if you already run a helpdesk and only want the AI layer.
Where the ranking flips
- At 100 AI-handled conversations a month, Freshdesk Growth is cheapest in a steady year. Its seats and sessions total $1,728 a year, against $2,400 for Help Scout Standard with AI Answers, $2,928 for Intercom Essential with Fin and $2,940 for Zendesk Support Team with 75 billed resolutions. Each vendor meters AI differently (sessions, resolutions, outcomes), so this compares cost at one volume, not identical features.
- Live chat and AI agents together start at $3,300 on Zendesk. Suite Team is the plan that puts both on one bill. For the same five agents, Freshdesk Pro with Copilot comes to $5,040, so compare what each tier includes before you compare the sticker.
- Team size and contact volume decide the free plan. Help Scout's free plan is the cheapest option for five users with 100 contacts a month or fewer. Above that cap, the same five people on Standard cost $1,500 a year.
Hidden costs to budget for
- Zendesk: monthly billing adds $360 a year for five agents, Copilot adds $50 per agent a month on Professional and higher, and resolutions past the included 25 a month cost $2.00 each.

We read each vendor's own pricing page on October 10, 2026, and used US dollar figures wherever the page shows them. The scenario is five agents billed yearly, on the entry plan that covers a shared inbox, tickets and automations, with no add-ons. "Cost at 5 agents" is the per-agent price times five times twelve. AI costs use 100 conversations or resolutions a month as a shared volume, since the vendors meter AI differently. Zoho Desk is excluded because its page shows no US dollar list price.
