Business Phone System Pricing Compared 2026: Dialpad, Nextiva, Quo, Ooma and Zoom Phone for 10 Users
Dialpad, Nextiva, Quo, Ooma and Zoom Phone priced for the same 10-user team, with October 2026 vendor prices, billing terms and hidden fees.
For a 10-person team billed yearly, Dialpad Connect Standard, Nextiva Core and Quo Starter tie for the lowest price at $15 per user per month, or $1,800 a year for all ten seats, verified on each vendor's pricing page in October 2026. Zoom Phone's cheapest unlimited US and Canada plan costs $1,920 a year, but only as a bundle that includes a Zoom Workplace seat. Ooma Office sells monthly billing only, which puts its cheapest plan at $2,394 a year.
Most business phone pages quote one per-user rate and leave the rest to the reader. The number that decides a budget is what the whole team pays across a year, and that moves with the billing term, the seat count and the features a team switches on. This page prices one scenario across five vendors, lists every tier we could tie to the vendor's own pricing page, and puts the billing term next to each figure.
Techpresso data: Across the 14 tiers priced here at one scenario, the cheapest yearly total is $1,800 and the priciest is $9,000, a $7,200 gap for the same job. Toolradar data: Toolradar, the software directory we run, tracks 11,051 tools across 343 categories, as of October 2026.
The scenario, and the math
The scenario is a 10-person team with one phone line or extension per person, unlimited calling to the US and Canada, and voicemail. It leaves out toll-free minutes and call recording, because some plans charge for those and others include them, and mixing them in would hide the base price. Where a plan does not include something a team needs, the hidden costs section and the section on where the ranking flips say what it adds.
Annual billing is used wherever a vendor offers it, because the yearly rate is the lower per-user price on every row that has one. Ooma publishes only monthly prices, so its row uses monthly billing and says so in the table.
The arithmetic is short. Dialpad Connect Standard at $15 per user per month, billed yearly, times 10 users times 12 months comes to $1,800. Zoom's US & CA Unlimited bundle at $16 comes to $1,920. Ooma Essentials at $19.95 comes to $2,394 across the year, because its page offers no annual rate.
Business phone system pricing compared, ranked by cost at the scenario
All prices are in USD. The cost column is the total for 10 users over one year at the billing shown.
| Tool | Entry plan | Cost at scenario (USD per year) | Free plan | Billing basis (USD per user per month) | Hidden costs |
|---|---|---|---|---|---|
| Dialpad | Connect Standard | 1,800 | None listed | Billed yearly at 15. Billed monthly at 27 | Internet fax is an add-on. SMS is charged per message. Taxes and surcharges are added at checkout. |
| Nextiva | Core | 1,800 | None listed | Billed yearly at 15, which needs a 12-month term. Billed monthly at 23 | Call recording and a 1-800 number are add-ons. Core includes 100 texts per user a month. |
| Quo | Starter | 1,800 | None listed | Billed yearly at 15. Billed monthly at 19 | $19.50 one-time messaging registration plus a monthly fee. Starter has no phone menus. |
| Zoom Phone | US & CA Unlimited, with Workplace Basic | 1,920 | None listed | Billed yearly at 16 as a bundle. Billed monthly at 18 | Sold only with a Workplace seat. No Phone-only price is published. Taxes may apply at checkout. |
| Ooma Office | Essentials | 2,394 (monthly only) | No free plan. One free toll-free number | Billed monthly at 19.95 per user account, with no contract | Extra toll-free minutes are a paid add-on. Taxes and fees apply on top. |
Dialpad, Nextiva and Quo are tied on price, so their order in the table is arbitrary. The tie breaks on what each seat includes, which the sections below cover. Zoom is next, and it is the only bundle in the table, so its figure is not a like-for-like phone price.
Every priced tier at 10 users
The table below prices all fourteen tiers at the same scenario, with both billing terms side by side. "Not offered" means the vendor's pricing page does not print that billing term.
| Vendor | Tier | Per user, billed yearly | Per user, billed monthly | Total, yearly billing | Total, monthly billing |
|---|---|---|---|---|---|
| Dialpad | Connect Standard | 15 | 27 | 1,800 | 3,240 |
| Dialpad | Connect Pro | 25 | 35 | 3,000 | 4,200 |
| Nextiva | Core | 15 | 23 | 1,800 | 2,760 |
| Nextiva | Engage | 25 | 50 | 3,000 | 6,000 |
| Nextiva | Scale | 75 | Not shown | 9,000 | Not shown |
| Quo | Starter | 15 | 19 | 1,800 | 2,280 |
| Quo | Business | 23 | 33 | 2,760 | 3,960 |
| Quo | Scale | 35 | 47 | 4,200 | 5,640 |
| Zoom Phone | US & CA Unlimited, with Workplace Basic | 16 | 18 | 1,920 | 2,160 |
| Zoom Phone | Pro Plus, with Workplace Pro | 20.50 | 24 | 2,460 | 2,880 |
| Zoom Phone | Business Plus, with Workplace Business | 24.50 | 29 | 2,940 | 3,480 |
| Ooma Office | Essentials | Not offered | 19.95 | Not offered | 2,394 |
| Ooma Office | Pro | Not offered | 24.95 | Not offered | 2,994 |
| Ooma Office | Pro Plus | Not offered | 29.95 | Not offered | 3,594 |
Read down the yearly column and the spread is wide. Nextiva Scale costs five times as much as Dialpad Standard for the same ten seats, because the page sells Scale as a full customer experience platform rather than a phone line.
Dialpad Connect Standard: the cheapest seat with recording and a phone menu
Dialpad Connect Standard is the entry tier of the Connect product, and its feature list covers more than the other two options at the same price. It includes unlimited calls within the US and Canada, one local number per user, a multi-level auto attendant and call recording. Quo's Starter leaves out phone menus and call recording, and Nextiva's Core sells call recording as an add-on, so Standard is the plan to price first when a team needs those on day one.
Standard comes with two limits. It caps a team at three departments or ring groups, and the Pro tier raises that to 25 while adding hold queues and quality-of-service reports. Dialpad also charges per SMS message on Standard, and internet fax is an add-on. The page's footnote says prices exclude taxes, regulatory fees and surcharges, which are added at checkout.
At 10 users, Standard costs $1,200 less per year than Pro at $3,000. That gap buys Pro's larger ring-group limit and its hold queues, so it only pays off once a team needs them. The seat minimum is one on Standard and three on Pro, so a two-person office pays for a third seat it does not use.
Nextiva Core: the same yearly price, with a 12-month commitment
Nextiva's $15 yearly rate applies only to a paid term of 12 months or longer. The eligibility line on its pricing page limits the annual small-business rate to new customers with 1 to 100 employees who sign that term. Billed month to month, Core costs $23 per user, which is $2,760 a year at 10 users, or $960 more than the yearly rate.
Core's comparison table shows 100 texts per user per month and no free toll-free minutes, with call recording and a 1-800 number sold as add-ons. Engage at $25 a user adds 500 texts and up to 2,000 free 1-800 minutes. At 10 users that is $3,000 a year, $1,200 more than Core, and it is the plan to price first for a team that runs a toll-free customer line.
The pricing page prints no setup fee. Its footnote says some features "may involve extra setup, licensing, or usage fees," and the page lists "hands-on setup assistance" as a feature without a price. Ask for the setup and porting costs in writing before a 12-month term starts. Scale, at $75 a user, is sold as a full customer experience platform and comes to $9,000 a year for 10 seats. For a team without a contact center, Scale is the wrong comparison. A team that does run one should read our best help desk software guide next to this table.
Quo Starter: the same yearly price, without phone menus
Quo's Starter costs $15 per user a month billed yearly, which is $180 per user a year. For that price the team gets unlimited calling and messaging to US and Canadian numbers under a fair use policy, one new or ported phone number per user, voicemail transcripts and email ticket support. Phone menus and call recording are not on Starter. Business, at $23 a user billed yearly, adds both and costs $2,760 a year at 10 users, which is $960 more.
Messaging needs a registration step. Quo's pricing page lists a one-time $19.50 review fee to The Campaign Registry, the third-party agency the major US carriers use to approve business texting. It also lists a monthly messaging fee that depends on the use case, but the page does not quote that figure. That makes the messaging cost the one part of this comparison that this page cannot state in full.
Zoom Phone: a bundle price, not a phone price
Zoom sells Phone only inside a bundle that also includes a Zoom Workplace seat. The cheapest bundle, US & CA Unlimited, is $16 per user a month billed yearly, or $18 billed monthly. Its plan card includes a domestic phone number, which fits the scenario's unlimited US and Canada calling. Its comparison table also lists toll-free numbers and call recording, which the scenario leaves out. At 10 users it costs $1,920 a year.
If the team already pays for a Zoom Workplace seat, part of this bundle is money it would spend anyway. Zoom's page does not publish a Phone-only price, so this page cannot quote what the phone alone costs. Zoom's comparison table also ties live phone support, which is help with the phone service itself, to account subscriptions above $200 a month, so a small team that may need that help should check its spend against that line. Pro Plus at $20.50 billed yearly and Business Plus at $24.50 step up to Workplace Pro and Workplace Business seats. A team that already runs Microsoft 365 or Google Workspace should compare those suites in Google Workspace vs Microsoft 365 before it adds a phone seat to either one.
Ooma Office: monthly billing with no contract
Ooma Office is the only vendor here whose page prints no annual price. Essentials costs $19.95 per user account per month, Pro costs $24.95 and Pro Plus costs $29.95, and the page says no contract is necessary. Essentials includes unlimited calling to the US, Canada, Mexico and Puerto Rico, a virtual receptionist, the mobile app and one free toll-free number. Text messaging starts on Pro, which allows up to 250 messages a month, and call recording is also a Pro feature.
At 10 users, Essentials costs $2,394 a year on monthly billing. That is $594 more than the yearly rate for Dialpad Standard, Nextiva Core or Quo Starter, and it buys flexibility rather than a discount. Ooma's FAQ adds $15 a month for 1,000 extra toll-free minutes or $30 a month for 2,500, and says monthly taxes and fees still apply. A team with a busy toll-free line that buys the smallest extra-minutes plan pays $2,574 a year.
Where the ranking flips
The ranking holds for a team that needs calling and voicemail and nothing more. Four needs change the answer.
Call recording moves the result the most. Dialpad Standard and Zoom's US & CA Unlimited bundle include it, so Dialpad is the cheapest option that qualifies on yearly billing. Nextiva charges extra for recording on Core, Quo's Starter does not include it, and Ooma only adds it at Pro, which costs $2,994 a year at 10 users.
A phone menu removes Quo Starter from the lowest price group. The next Quo tier, Business, costs $2,760 a year, while Dialpad Standard includes a menu and stays in the lowest price group.
Toll-free calling changes the picture too. Nextiva Core includes no free toll-free minutes, while Engage at $3,000 a year includes up to 2,000. Ooma Essentials keeps its one free toll-free number and reaches $2,574 with the smallest extra-minutes plan.
Team size sets the floor. Dialpad Standard has a seat minimum of one, and Pro needs three seats, so a two-person team that wants Dialpad's Pro features has to pay for seats it does not use.
Hidden costs to budget for
- Quo: a $19.50 one-time messaging registration applies, and the monthly messaging fee is not quoted on the page. Starter has no phone menus or call recording.
- Nextiva: the yearly rate requires a 12-month term. Call recording and a 1-800 number are add-ons on Core, and Core includes 100 texts per user per month.
- Dialpad: SMS is charged per message on Standard, internet fax is an add-on, and taxes and surcharges are added at checkout.
- Zoom: Phone only comes with a Workplace seat, and live phone support is tied to account subscriptions above $200 a month. Taxes may apply at checkout.
- Ooma: extra toll-free minutes come as monthly add-on plans, and monthly taxes and fees come on top of the plan price.
Why RingCentral and two other names are not in the table
RingCentral is one of the most searched names in this category, and it is not ranked here, because the table only uses per-user prices confirmed on the vendor's own pricing page for this scenario. Our RingCentral review covers the product in more depth.
Google Voice and Grasshopper are also out. Google's Workspace pages print no Voice price, and Grasshopper's page shows one "starting at" figure with no per-user basis, so neither can be compared on the same scenario.
Methodology
Each price was read on the vendor's own pricing page in October 2026, in US dollars, with the billing term noted next to it. The pages are Dialpad, Nextiva, Quo, Zoom Phone and Ooma Office. Zoom's figures were read twice from its page and matched. The scenario is 10 users with one line or extension each, unlimited calling to the US and Canada, and voicemail. Totals are the per-user price times 10 users times 12 months, before taxes and fees, which are added at checkout.
Five vendors had per-user prices we could tie to their own pages, so this table is narrower than a full category survey. Vendors that do not publish a per-user price are left out rather than estimated, and no review site or third-party estimate feeds a number on this page.
FAQ
What is the cheapest business phone system for 10 users in 2026?
Dialpad Connect Standard, Nextiva Core and Quo Starter tie for the lowest yearly total at $1,800 for ten users. Zoom Phone's US & CA Unlimited bundle is next at $1,920, and it includes a Zoom Workplace seat. Ooma Essentials is the cheapest plan with no yearly option.
Is there a free business phone system?
None of the five vendors lists a free plan on its pricing page. Ooma's Essentials plan includes one free toll-free number, and Quo and Dialpad show a free trial button rather than a free tier. A trial is the practical way to test calling quality before a yearly commitment.
Does Nextiva charge a setup fee?
Nextiva's pricing page does not print a setup fee. Its footnote warns that some features "may involve extra setup, licensing, or usage fees," so ask for those numbers in writing before signing a 12-month term.
How much does Zoom Phone cost per user?
Zoom Phone is sold only in bundles with a Zoom Workplace seat. US & CA Unlimited is $16 per user a month billed yearly, Pro Plus is $20.50 and Business Plus is $24.50. Zoom's pricing page publishes no Phone-only price, so the bundle is the only way to compare the cost.
Is Ooma Office cheaper than a yearly plan?
Not at 10 users. Ooma Essentials costs $2,394 a year on monthly billing, which is $594 more than the yearly rate for Dialpad Standard, Nextiva Core or Quo Starter. Ooma's advantage is that it has no contract and includes one free toll-free number, so it suits a team that cannot commit to a year.
